Features of CompleteGP

The CompleteGP software package has multiple special features that make the entire patient management system from start to finish an efficient, detailed, and easy to use process. Easy Entry of Information
The user can enter consultations by mouse clicks of icons or keyboard accelerators or by voice activation. Predefined phrases, User configured sequence of examinations e.g. SIX WEEK CHECKS, Asthma Screening predefined or user created forms (specific to practice), direct import of blood pressure monitors (in consultation saves approx 1 min per consultation), 24 hr BP, ECG and 24 hr ECG monitors.

Compare and Contrast Multiple Relevant Results, Clinical and Labs at a glance
Flowcharts, automatically filled when labs imported, are where related results are displayed in chart form and trends can be easily determined. Chronic disease management flowcharts can contain examination results, like foot pulses, waist measurements, exercise in a coded and auditable fashion, as well as comparable lab results in one screen for clarity of view.

Predefined or design your own views of results and examinations
Many predefined “Flowcharts” are included with CompleteGP and the user can modify existing flowcharts or create totally new flowcharts. Flowcharts allow the user to view related results as chronological chart or graph.

Suggested Guidance
Based on the Patient’s specific diagnoses, exam/lab results or prescriptions the user is presented with a list of relevant clinical knowledge summaries which are specific to the individual patient. These summaries, are a reliable source of evidence-based information and practical ‘know how’ about the common conditions managed in primary care, are available at the click of a button.

Post-It
Multiple targeted Post-It style patient notes can be set to popup when a specific user or user group opens a patient record.

Patient Registers/Lists
Patient lists can be generated based on diagnosis, prescriptions, or other criteria. For example women age 15-60 who have not had a smear ever or in a defined period. Vaccine lists using variable age and disease criteria.

Audit and Analyze
Sophisticated Search tool allows for the creation of reports and data extracts. Searches can be saved, exported and shared with other CompleteGP sites.

Seamless Communication

(Doctor to Doctor)
Letters can be directly sent to patients or Referrals can be emailed to consultants or other practices (security certificates are supported). Recording of emails sent. Should a consultant directly reply to the email, their reply can be automatically placed into the patient record. Referrals to other CompleteGP service providers via email can automatically create the Patient record on the other site and attach the referral to it.

Full Healthlink integration, lab result importation and Web based form referrals.

(PCRS)
PCRS patient lists can be downloaded, imported and reconciled directly into the patient database. Full Capitation listings can be generated including fees paid by PCRS and what they should pay. Practice Subsidies can be calculated and compared to actual subsidies received. Notification of GMS card expiry when patient record is opened and quick click to instantaneously check GMS number and update patient record accordingly. Patients with cards registered to other practices highlighted on each consultation.

Straight Forward Financial Management
Complete financial Management of Private, GMS, Insurance Every consultation generates a billing process, e.g. Cash, Cheque, Card, STC, Insurance forms, bill as appropriate. GMS items of service, OOH, automatically recorded based on clinical recorded, immediate submission of claim form possible. Insurance procedures recorded for reconciliation with Insurance claims. Private billing as individuals, families, corporate, Capitation. Payment/forms required can be notified to front office.

Accounting
Daily, weekly, monthly accounting facilitated and deposit slip reconciliation is also provided. If desired, accounting can be directly exported to Sage, TAS Books or The Big Red Book. Patients can be given discounts based on discount categories. Multiple reports can be generated, including Cash/Cheque/Card Reconciliation, as well as daily, weekly, monthly accounts etc.

PCRS
Full capitation listings, subsidy calculation, reconciliation of STCs paid by PCRS. GMS STCs including Vaccines can be auto filled based on clinical vaccine given and automatically submitted to PCRS for payment with a single click and no additional data entry by staff.

Mother and Child
Automatic filling of Mother and Child forms, minimum to maximum.

Laptop Synchronisation and remote access (extra backup)
A laptop can be used for external surgeries or house calls. The laptop is essentially a complete backup of your main system with all patient record information. Before leaving the main office the laptop is updated to reflect the current state of the patient database. The full patient record is available for the off site visit and any changes made to the records are synchronised to the main database on return to the office. Updates can be made in the main office and the laptop to the same patient at the same time in a secure fashion.

Remote access is available over the Internet using sophisticated security certificates.

 Clinical reminders and recall for appointments are automated. SMS messaging is accommodated if required

Auditable practice communication enhances teamwork, co-ordination and responsibility in small or large practices.
 
Form Printing / Filling 
Standard HSE/Other PDF forms, which normally are filled by hand are available as electronic forms on the system and are AUTO-FILLED with the patient information. The form can then be printed and just the user entered information is stored on the patient record. The whole form as it was printed can be viewed and printed at any time in the future. Often standard reports or certificates need to be created for the Patient, for example Sick Cert letters for Work, which don’t need to be stored in the patient’s record cluttering outgoing letters section. These letters (certs) typically are identical except for a few fields (Reason for cert, date of return). In CompleteGP, Templates can be marked as forms which can be easily printed and only the specific input fields are prompted for from the user. These fields can be totally user entered or CompleteGP can present a list of possible choices to the user. With one click and then the selection of the reason and entry of the date and the letter is printed. A note is placed on the patient’s record which shows which form was printed and the input fields entered.
 
L  eaflet Print
Patient information leaflets which you normally print and store for handouts can be stored in CompleteGP and printed on demand. Travel Clinic Travel and Destination information automated with printouts etc.

The powerful template facility which works with Microsoft Word or Openoffice or Write can automatically pull in patient details, lab results, flowcharts, visits and has the ability while editing with a single click of a button to include almost any detail of the patient record. Most referrals will require only a quick note asking the consultant to review the patient as the rest of the details will be already included from the consultation(s).This is a very easy to use system and saves enormously on secretarial time and speed of letter output.

Clinical Devices Direct Import
Direct import of 24Hr Blood pressure monitors and storing and displaying results in standardised format (DICOM file format).  Six different BP monitors supported directly and many more via a GDT interface.
Single Click import from Omron Blood Pressure monitors of Pulse and Blood Pressure (saves a minute a consultation).Certain ECG machines can transmit the ECG to the CompleteGP server where we convert them to DICOM format and the resultant file can be imported into the Patient’s record. Full review and zooming of ECG available.
INR testing machines can be directly imported into the patient record flowchart and dose calculation module.

Stock Taking / Dispensing Module
Automatic stock control of Vaccines and Dispensed drugs with notification of depleted levels. Dispensing module, prints address and directions labels.

GMS STC Reconciliation, Integrated STC Entry and Automated Submission
STC forms can be entered electronically and are automatically created for Vaccinations. Once an STC is entered, it can automatically be submitted to PCRS and the form is downloaded and printed ready for the Patient to sign. In most cases there is no user interaction required. Each month you can reconcile the STCs reported by PCRS with those entered in CompleteGP. A report is generated which shows which STCs were paid, which rejected and any which were entered in CompleteGP but varying reasons (Not submitted, not signed, etc) never were processed by PCRS.

GMS Subsidy Analysis, Full Capitation Listing Report
GMS subsidies are calculated using the average of last thirteen months Capitation listings. CompleteGP allows for all previous Capitation lists to be downloaded and full listings with costings printed. On entering your Staff and their points a report can be produced which indicates the practice subsidy should be receiving and any subsidy you should be claiming for.

Single Practice to Multi-practice Primary Care Centre
A centre can contain separate clinics, which provide services for patients within your practice (eg. Diabetic services, Headache Clinic, Monitor clinic). If they also use CompleteGP, a link can be created between the same patients on both systems. Entries made in the Clinic and be set to be copied into the main patient record if desired. Also a limited (or unlimited) view of the main record can be made available to the Clinic, or the Clinic can be allowed to make entries directly into the main patient record. Referrals from the GP office to the clinic are done via referral letters and emailed directly. The patient is created in the Clinic if it does not exist. The Clinic can only access patients which have been referred and only to the limit of the user account created for the Clinic (this account is not usable directly in the GP’s office and can be severely limited to the level of appropriate access as defined by GP).

Security
Patient data is encrypted with AES for transmission. The system is extremely secure and ensures only appropriate access as determined by the practice for all levels of staff, internal staff e.g. doctor, nurse, secretary, manager and visiting staff e.g. HSE dietician etc. Any user  can be limited to viewing or editing specific flowcharts or individual entry types, and limited from accessing financial or other management features.

Calendar, Workflow Management
A full calendar workflow system is available to notify users of future or exceptional events, like stock low events or no response from Web referrals.

Case Specific Web Browser Access to Referrals and Info Calculators, Auto Filled
There are many Web based risk calculators available to GP’s and the Public. (For example Cardiovascular Risk calculators which display a graphical representation of a Patient’s Risk based on multiple parameters. This usually involves surfing to the Web site and entering the Patients’ Age, Sex, Weight, BMI Blood Pressure, HDL, LDL, Smoking or other relevant data), CompleteGP has created a module that, with a single click, a browser window is opened to the calculator and the Patient information is automatically filled in. As new Web calculators come on-line, Complete GP will enable automatic entry to them. All that is required to access them is for a single database entry to be made in CompleteGP.

Also provided are five different automatic eGFR calculations displayed in chart form. This chart and all other charts can  be easily included in Patient referral letters.

Computer decision support software for Warfarin dosing is also included in CompleteGP. Based on the University of Michigan Cardiovascular dosing algorithms, the INR reading is either picked up from the Lab results, manually entered or automatically populated from an INR testing machine and it in combination with previous results is used to calculate a suggested dose regime. The next appointment date is also calculated based on previous results and a single click allows the user to make the next appointment date and time for the patient. Once the user is satisfied with the results (can be changed manually), a single click, updates the Patient record with the full dosing instructions and Mg / Week. Another click and a label can be printed which contains the Patient Name, INR Result, Dosing instructions listed for every day until the next appointment and the next appointment Day/Time.

For extra patient safety, your dosing results can be audited using the built in Rosendaal et al calculation for percentage of time the INR is in range and reports generated at any time frame.
